Designing the Guest Journey: Live Foliage Rentals for the Orange Bowl Food & Wine Festival at Hard Rock Hotel

The most successful events don't begin when guests reach their seats.

They begin the moment someone steps through the front doors.

Before the first conversation.

Before the first cocktail.

Before the first tasting.

The experience has already begun.

That philosophy guided every botanical decision Temporary Tropics made while supporting the Orange Bowl Food & Wine Festival, hosted at the Seminole Hard Rock Hotel & Casino Hollywood—one of South Florida's premier culinary and hospitality events benefiting the Orange Bowl's youth and community initiatives.

This wasn't simply a ballroom filled with restaurants.

It was an immersive culinary experience designed to celebrate South Florida's hospitality community while welcoming hundreds of guests, sponsors, chefs, athletes, and VIP attendees.

Our role was to ensure every arrival, transition, activation, and gathering space felt intentional.

Because exceptional events are remembered by how they make people feel—not simply by what they see.

The Entrance Sets the Tone

Guests form opinions within seconds of entering an event.

That first impression establishes expectations for everything that follows.

Rather than allowing attendees to simply walk into the ballroom, we transformed the VIP entrance into an experience of its own.

Towering tropical palms framed the architectural entry portal while layered foliage compositions introduced depth, height, and movement. Rich burgundy Cordylines added vibrant contrast, while carefully positioned uplighting brought the botanical installations to life after sunset.

The result wasn't simply a decorative entrance.

It became a moment.

One that communicated arrival.

Importance.

Celebration.

Using Live Plants to Organize Large Event Spaces

Large ballrooms can quickly become visually overwhelming.

Hundreds of guests.

Dozens of exhibitors.

Sponsor activations.

Food stations.

Entertainment.

Without thoughtful design, the room begins to feel chaotic.

Rather than filling the ballroom with unnecessary décor, we used live foliage rentals to organize the environment naturally.

Strategically positioned palms softened transitions between restaurant activations.

Fern groupings anchored sponsor displays.

Layered tropical plants helped define pathways while preserving open sightlines throughout the venue.

Guests instinctively understood how to move through the experience without ever realizing the plants were quietly guiding them.

That is intentional event design.

Botanical Design That Supports Brand Activations

Every sponsor invests heavily in creating memorable interactions.

Our responsibility is to help those investments perform.

Throughout the festival we enhanced branded environments using carefully selected tropical plant species that elevated sponsor displays without competing with them.

Whether surrounding the Orange Bowl icon, framing culinary exhibitors, accenting the VIP Bus Stop activation, or softening restaurant showcases, every botanical installation served the brand—not itself.

This is where experience in both event planning and botanical design makes the difference.

Plants should never distract.

They should strengthen the visual story already being told.

Creating Warmth Inside a Large Ballroom

Hospitality events should feel energetic.

But they should also feel welcoming.

The Hard Rock ballroom is expansive, making scale one of the primary design challenges.

By layering Areca Palms, Kentia Palms, Majesty Palms, tropical foliage, and lush Boston Ferns throughout the venue, we introduced movement, texture, and softness that balanced the ballroom's architecture without obstructing guest flow.

The result was an environment that felt intimate despite its size.

Guests moved naturally between culinary experiences while remaining immersed in lush botanical surroundings that reflected South Florida's tropical identity.

Designing for Logistics as Much as Beauty

Great event design is measured long before the first guest arrives.

The Orange Bowl Food & Wine Festival required coordinated production schedules, precise installation timing, and seamless collaboration with multiple vendors working simultaneously throughout the venue.

Every botanical installation was pre-planned to accommodate lighting, staging, sponsor branding, culinary operations, guest circulation, and production schedules.

Because our team understands both live events and horticulture, installation becomes part of the production—not an interruption to it.

Beautiful design means very little if it complicates operations.

Our objective is always the opposite.

To simplify them.

Why Corporate Event Planners Choose Temporary Tropics

Many companies rent plants.

Temporary Tropics designs experiences.

Our background in professional meeting and event planning influences every recommendation we make.

Before selecting a single plant, we evaluate:

  • Guest arrival sequences.

  • VIP experiences.

  • Registration flow.

  • Sponsor visibility.

  • Photo opportunities.

  • Wayfinding.

  • Ballroom traffic.

  • Lighting design.

  • Production schedules.

  • Event logistics.

Only then do we begin designing the botanical environment.

Plants become part of the event strategy—not simply décor.

That planning-first philosophy has made Temporary Tropics the trusted botanical partner for conferences, conventions, sporting events, experiential marketing activations, hospitality events, corporate galas, luxury brand experiences, and destination meetings throughout Florida.

Florida's Trusted Partner for Sporting Events and Hospitality Experiences

From the Orange Bowl Food & Wine Festival and executive hospitality events to Formula 1, FIFA World Cup, corporate conferences, trade shows, incentive programs, luxury galas, and experiential activations, Temporary Tropics provides premium event plant rentals, conference foliage, VIP entrance design, hospitality greenery, stage plants, brand activation décor, and custom botanical installations throughout Florida and across the United States.

Whether guests are arriving at a sporting event, culinary festival, luxury gala, or Fortune 500 conference, we believe every botanical element should serve a purpose.

Because the best event design isn't noticed.

It's experienced.

And when every detail has been thoughtfully considered, guests leave remembering something they cannot quite describe —

only that the event felt exceptional.
